The work

A leadership change at the organization opened a window: rewrite how operations ran from end to end, not just patch what was broken. The communications layer was one slice of that rewrite — every member who walked in, registered, or asked a question had to feel addressed, not processed.

Scope

  • A personalized welcome package for every new member, generated and sent without manual assembly
  • Term-by-term promotional emails written once and personalized per recipient: level, schedule, instructor, payment status, registration link
  • Follow-up surveys for members who didn’t return, with suggested courses for the next term
  • Follow-up for prospects who asked for information but didn’t make it to registration, so no inquiry slipped through
  • Repetitive replies turned into structured templates that staff still controlled but no longer rewrote from scratch

What the client got

Hours of manual email work compressed into a routine the office can run on a Tuesday morning. Members who feel addressed, not blasted. A pattern the team extends to whichever term comes next, without rebuilding the system each time.
